Freelance reply templates: a structure and three examples
A reply template is not a text you send to everyone. It is a set of blocks from which a reply to one specific order is assembled in two minutes. Below is the structure and three examples to adapt.
Five blocks of a good reply
- Their task. The first sentence restates the order in your own words. It proves you read it.
- Your experience. One similar project and a link, not a list of twenty items.
- Plan and deadline. Two or three steps and a number of days. If unclear, give a range.
- Price. A number or a range, and what it depends on.
- A question. One clarifying question that shows you are already thinking about the job.
A template for a developer
Order texts are in Russian, and so are the replies on the Russian-language marketplaces, so the examples keep that language: “Здравствуйте! Вам нужен Telegram-бот для записи клиентов с оплатой через ЮKassa, правильно понимаю? Недавно делал похожий для барбершопа: [ссылка]. План: согласуем сценарии, собираю бота и подключаю оплату, тестируем вместе. Срок 5–6 дней, 25 000 ₽ с развёртыванием. Подскажите: записи нужно синхронизировать с календарём или хватит таблицы?”
A template for a designer
“Добрый день! Вы запускаете кофейню, нужен логотип и базовый фирменный стиль. Последняя похожая работа: [ссылка]. Предлагаю три направления, после выбора два круга правок. Срок 6 дней, 18 000 ₽ с макетами для вывески и меню. Есть ли у вас примеры логотипов, которые нравятся, и те, которых нужно избегать?”
A template for a copywriter
“Здравствуйте! Для сайта стоматологии нужны тексты на шесть страниц, правильно ли я понимаю? Писал для двух клиник, образец: [ссылка]. Сначала пять вопросов по услугам и аудитории, затем структура, потом тексты. Срок 7 дней, 12 000 ₽, две правки включены. У вас есть список врачей и услуг с ценами, или собираем с нуля?”
Five mistakes that leave a reply unanswered
- Starting with your biography. The client cares about their task.
- Writing too long. If the reply does not fit a phone screen, it gets skimmed.
- Not naming a price. The client will not guess and picks someone who did.
- Promising “anything”. A narrow specialist looks more convincing than a generalist.
- Sending the same text to ten orders. It is recognizable from the first line.

Questions
How long should a reply be?
A good reply fits in 80 to 150 words. If you need more, the job is probably complex, and it is better to ask a question first and send the detailed plan after the answer.
